Refund and Cancellation

This policy explains what happens when you cancel an OsemFlow subscription, and our position on refunds. It forms part of our terms of service.
1. The short version
You can cancel whenever you want. You keep the paid plan until the end of the period you have already paid for. After that the account returns to the Free plan and your records stay where they are.
Subscription fees already paid are not refunded.
2. Why there is no refund
We offer a permanent Free plan, with no time limit and no card required. It exists so you can use the software properly before paying anything.
That plan is the trial. Because you can evaluate the service at no cost for as long as you want, we do not refund subscription fees once a billing period has been paid for.
3. Cancelling

- Cancel from inside the application, on the subscription screen. You do not need to contact us, though you can at info@osemflow.com if you would rather.
- 3.2
- Cancellation takes effect at the end of the billing period you have already paid for. It is not immediate, and it does not need to be.
- 3.3
- Until that date, nothing changes. Your plan, limits and features stay as they are.
- 3.4
- At the end of the period the account moves to the Free plan. Nothing is deleted.
4. After cancellation
Your account continues on the Free plan, and the Free plan has limits: one user, 50 products, 10 customers, one branch.
If your account holds more than that when it reverts, your records remain intact and visible. What changes is what you can add. Reaching a limit blocks the action rather than removing anything you already have.
Where an account had more than one branch, additional branches beyond the Free plan's single branch become read-only for 30 days. During that time you are reminded to upgrade. If nothing changes by the end of it, those branches are deleted. Everything in your main branch is unaffected.
Take out anything you need before or after cancelling. Reports export to CSV and PDF, and invoices and receipts download as PDF, on every plan including Free.
5. Moving to a smaller paid plan
Downgrading between paid plans works the same way. It takes effect at the end of the current period, and no part of the fee already paid is refunded.
A downgrade requires your usage to fit inside the smaller plan's limits first. If you have more staff seats, products, customers or branches than it allows, the system will tell you what needs reducing before the change can go through.
6. Failed payments
If a renewal payment fails, nothing changes for seven days while you sort it out.
If it is still unresolved after that, the account becomes read-only. Your records stay visible, but no new sales, invoices, customer payments or other transactions can be recorded until the subscription is current again.
Continued non-payment may result in the account being locked entirely. Resolving the payment restores access.
7. Exceptions
We will consider a refund where:
- you were charged more than once for the same billing period
- you were charged after cancelling, where the cancellation took effect before the charge
- a technical fault on our side made the service unusable for a sustained period and we were unable to resolve it
These are corrections of a billing error or a failure on our part, not a change of mind. Write to info@osemflow.com with your business account name and the date of the charge.
Where a refund is due, it is returned through the payment method originally used. How long it takes to appear depends on your bank or card issuer rather than on us.
8. Accounts we close
Where we close an account because our terms were breached, no refund of fees already paid is due. See section 8 of the terms of service.
9. Statutory rights
Nothing in this policy removes rights you have under the law that applies to you. Where consumer protection law gives you a right to a refund that this policy does not, that law takes precedence.
