Getting started
Do I need to install anything?
No. OsemFlow runs in a browser. Sign in and it is there.
How long does setup take?
Creating the account takes a minute. Getting useful takes as long as it takes to enter your products, which depends on how many you have. You can start with the ones that move fastest and add the rest as you go.
Do I need a barcode scanner?
No. You can search for a product by name. If you do have a scanner, a USB or Bluetooth one will work, and so will your device's camera.
Can I import my product list?
Not in the current version. Products are entered in the application.
Do I need to be a computer person to use this?
The counter screen is built for someone working quickly with a customer in front of them. Cashiers land straight on it when they sign in rather than passing through a dashboard.
Money and plans
Is the Free plan really free?
Yes, with no end date. One user, 50 products, 10 customers. It is limited rather than temporary.
Why is billing in naira if I am not in Nigeria?
Subscription payments are processed in naira through Paystack, with Flutterwave as a backup. That is the payment side only. The currency your own prices display in is a setting you control and can change whenever you want.
Does the price include VAT?
The prices shown are the prices charged.
What happens if my payment fails?
You get seven days to fix it with nothing changing. After that the account becomes read-only, so everything is still there to look at but no new sales, invoices or payments can be recorded. Sort out the payment and it comes straight back.
Can I cancel?
Yes, whenever you want. You keep the paid plan until the end of the period you have already paid for, then the account returns to Free with your records intact. Subscription payments are not refunded. See the refund policy.
Can I move down a plan?
Yes, as long as your usage fits the smaller plan. If you have more staff, products, customers or branches than it allows, reduce them first and the system will show you what needs to come down.
How it works
Can I use it without internet?
No. The system needs a connection to record a transaction. This is deliberate rather than unfinished. Stock levels, customer balances and cost calculations all depend on the server holding the authoritative figure, and letting devices record sales offline would mean two tills could sell the same last unit and both believe they succeeded.
Can I sell something I have run out of?
No. Stock cannot go below zero on a sale, an invoice or a transfer. If two people try to sell the last unit at the same moment, the first one through succeeds and the second gets told why.
Can my cashier change a price?
Not at the counter, and neither can you. Checkout prices come from the branch price plus any discount already switched on. On an invoice, a Manager or Admin can override a line price.
How do customer payments get applied?
Against the customer's balance, settling the oldest unpaid invoice first and working forward. It is not adjustable by anyone. The screen shows you exactly where the money is going before you confirm it.
Can I decide which invoice a payment settles?
No. Allocation runs oldest first, automatically, with a record of where each amount landed.
What if a customer overpays?
The payment is rejected rather than held as credit on their account.
Can I set a credit limit for a customer?
No. Whether to extend credit is your decision. The system tracks what is owed rather than deciding who is allowed to owe it.
How does expiry tracking start?
By entering an expiry date when you receive stock. That switches on batch tracking for that product. Sales then draw from whichever batch expires soonest.
Will it stop me selling expired stock?
It warns whoever is serving. It does not block the sale, because that decision belongs to the business.
Can I run more than one shop?
Yes, from Pro upwards. Stock, prices and discounts are held per branch, and you can transfer stock between them.
Can I email an invoice from the system?
Not currently. Invoices download as PDF and you send or print them yourself.
Your records
Where is my data kept?
On our servers, isolated from every other business using OsemFlow.
What happens if something goes wrong?
The database is backed up continuously rather than nightly, so a failure costs minutes rather than a day of trading. Backups are encrypted before they are stored, and the keys are kept separately from the backups. The full restore procedure is rehearsed every three months against a copy of the system.
Can I get my data out?
Reports export to CSV and PDF. Invoices and receipts download as PDF. There is no single-click export of the whole account in the current version.
Can I see who did what?
Yes. Changes are recorded against the staff member who made them. That history is kept for 30 days on Free and Starter, 90 days on Pro and 180 days on Enterprise.
Can OsemFlow staff see my sales?
No. Platform administrators can see account-level information such as your subscription status and usage totals. They cannot open your products, sales, invoices or customer records, and they cannot sign in as you.
Is there two-factor authentication?
Not currently. Accounts allow one active session at a time and sign out after 30 minutes of inactivity.
